Child Well-beng Fund Ukraine, as part of its activities, is looking for a provider of accommodation, catering and conference hall rental services for events, including for the project (2025-10-UCYE-UA-09) "Healing Forest: Strengthening Resilience and Improving Mental Health among Young Children in Ukraine", which is being implemented in partnership with Barnfonden with funding from the Swedish Government through the Swedish International Development Cooperation Agency (Sida). 

Purpose of the procurement: providing quality accommodation, catering and conference hall rental services for holding events within the project in accordance with the requirements of the Child Well-being Fund Ukraine and Barnfonden.

Estimated period of events: from August 2026 to February 2027. Exact dates will be agreed upon later. At least four events of varying duration (from 2 to 4 days) are planned for groups of up to 35 participants.

Based on the results of the selection, it is planned to conclude an agreement with the supplier, who will provide services for renting a conference hall and technical equipment, temporary accommodation (accommodation) of event participants, and catering in accordance with the requirements of this request. 

Cooperation will be carried out by non-cash payment within the terms stipulated in the contract. 

The selection of the supplier will be made taking into account the best price-quality ratio, subject to compliance with the minimum requirements. The organization is not obliged to select the service provider that offers the lowest price offer.

We invite suppliers to participate in the selection and provide a price quote for the following services:

  • providing accommodation for event participants: 
  • cost of accommodation for one night in a single room of the "Standard" category, including tourist tax;
  • cost of accommodation for one night in a double room with two separate beds of the "Standard" category, including tourist tax;
  • catering: cost of breakfast (if not included in the accommodation price), coffee break, lunch and dinner per person; 
  • conference room rental: rental cost per hour/day for a hall with an area of ​​at least 80 m2 (equipped with a screen, projector, flipchart, chairs for 35 people, 5 tables, a laptop and a generator in case of a power outage);
  • equipment rental (if not included in the conference room rental price): screen, projector, flipchart, laptop.

Requirements for the content and design of the price offer:

  • The offer is drawn up on the company's letterhead with a signature and a seal (if available) in accordance with the provided format (Annex 1);
  • availability of a link to a photo on the website of the proposed rooms and conference rooms;
  • presence of the full name, position and signature of the responsible contact person;

  • in case of submitting a proposal from an individual entrepreneur, it is necessary to provide a copy of the Extract from the Unified State Register and an Extract from the register of single tax payers.

Please indicate whether there is shelter at the location or indicate the distance to the nearest shelter. 

Please also provide information about the availability of a printer for printing materials and the possibility of using it.
