Child Well-being Fund Ukraine is seeking service providers to rent a conference room and provide catering for events held as part of the project (2025-10-UCYE-UA-09) "Healing Forest: Strengthening Resilience and Improving Mental Health among Young Children in Ukraine", which is being implemented in partnership with Barnfonden with funding from the Swedish Government through the Swedish International Development Cooperation Agency (Sida).
Purpose of the procurement
The purpose of this procurement is to secure services for the rental of a conference room and catering services for events under the project in accordance with the requirements of Child Well-being Fund Ukraine and Barnfonden, as specified in this announcement.
Period and locations of the events
The events will be held from October 2026 to January 2027. The average number of people expected to attend the event is up to 35.
Services will need to be provided in the following communities on the following approximate dates:
- Rozhyshche, Volyn region – 20–22 October and 17–19 November 2026;
- Berdychiv, Zhytomyr region – 29–31 October and tentatively after 20 December 2026;
- Kalush, Ivano-Frankivsk region – 26–28 October and 23–25 November 2026;
- Myrhorod, Poltava region – 21–23 October and 23–25 November 2026;
- Sarny, Rivne region – 26–28 October and 23–25 November 2026;
- Rokytne, Rivne region – 27–29 October and 15–17 December 2026;
- Cherkasy, Cherkasy region – 28–30 October and 25–27 November 2026;
- Smila, Cherkasy region – 18–20 November and 3–5 December 2026;
- Chernivtsi, Chernivtsi region – 2–4 November and 2–4 December 2026.
List of required services
We invite suppliers to participate in the selection and provide a price proposal for the following services:
- catering: cost of coffee break and lunch per person;
- conference room rental: rental cost per hour/day for a hall with an area of at least 80 m2 (equipped with a screen, projector, flipchart, chairs for 35 people, 5 tables, a laptop and a generator in case of a power outage);
- equipment rental (if not included in the conference room rental price): screen, projector, flipchart.
Please indicate whether there is shelter at the location or indicate the distance to the nearest shelter.
Please also provide information about the availability of a printer for printing materials and the possibility of using it.
A supplier may submit a price proposal for one, several, or all of the types of services specified in this announcement. Submission of a proposal does not require the inclusion of the entire list of services.
Requirements for the content and design of the price proposal:
- the proposal is drawn up on the company's letterhead with a signature and a seal (if available) in accordance with the provided format (Annex 1);
- availability of a link to photos of the proposed conference room;
- presence of the full name, position and signature of the responsible contact person;

- in case of submitting a proposal from an individual entrepreneur, it is necessary to provide a copy of the Extract from the Unified State Register and an Extract from the register of single tax payers.
Terms of selection and cooperation
Suppliers will be selected separately for each location, based on the best value for money among the proposals that meet the established requirements for the location and services. The organization is not obligated to select the service provider offering the lowest price.
Cooperation will be conducted via non-cash payments within the timeframes specified in the contract.
The number of participants, the duration of events, and the scope of required services will be agreed upon with the selected suppliers on a case-by-case basis, in accordance with actual needs.
Proposals must be sent to the Fund no later than September 22, 2026 with the subject line «Selection – name of the location».
